Explore our Subscription Feature
Subscription is a feature that enables you to manage and track recurring payments and services efficiently.
#1 Subscriptions
The Subscriptions feature in Resolve Work CRM enables businesses to automate customer billing through Stripe. This system is distinct from recurring invoices, as subscriptions are tied directly to Stripe’s payment gateway, allowing automatic billing and invoice generation when the customer is subscribed.
Key Steps to Set Up and Use Subscriptions:
#2 Subscription Management in Resolve Work:
Subscription Creation: In your CRM system, allow users to create subscriptions by selecting a Stripe billing plan and associating it with a customer. You can also configure additional subscription details like the quantity, first billing date, description, and more.
Subscription Statuses: Track the subscription status through Resolve Work’s interface. This will include statuses like Active, Canceled, Past Due, etc., and an additional custom status such as Future (for subscriptions that are active but have a future billing start date).
#3 Customer Subscription Setup:
Admins should be able to manage customer subscriptions, cancel them, or change the subscription terms as needed.
Enable cancellation options, such as canceling the subscription immediately or at the end of the billing period.
#4 Handling Credit Card Information:
Securely store Stripe customer IDs and credit card tokens (but not the full card number) for future subscription payments.
Customers should be able to update their card details directly via their profile page in the customer portal within Resolve Work.
#5 Testing and Webhook Configuration:
Configure Stripe webhook for handling subscription events (like payment success or failure). This is especially important if you’re using a version of Resolve Work before automatic webhook configuration is available.
Test the subscription system using Stripe’s test keys to simulate transactions and confirm the workflow.
#6 Notifications and Communication:
Customize email templates for subscription-related notifications such as successful subscription confirmations, billing reminders, and subscription cancellation notices.
Make sure that subscription-related emails are clear and informative for both admins and customers.
#7 Subscriptions in Customer Portal:
#8 Important Considerations:
Single Billing Plan: Resolve Work’s subscription system should be set up to only handle one billing plan per subscription, just like Stripe, to avoid complications.
No Deletion of Subscriptions: Once a customer has subscribed to a plan, it should not be deleted. Instead, it should be marked as canceled if the subscription is no longer active.
By implementing Stripe’s subscription billing functionality in Resolve Work, you can streamline your billing process, automate invoicing, and ensure timely payment collection, all while giving customers the ability to manage their subscriptions through the customer portal.
